Your Role:
- Answer Calls:
- Respond to incoming phone calls promptly and professionally.
- Direct calls to the appropriate department or person.
- Operate a switchboard or phone system to connect callers with the right extensions.
- Consular Support:
- Assisting with tasks related to visas, passports, and other consular services.
- Deliver messages via email, note, or verbal communication.
- Periodic updates on the Mission’s social media platforms and website with prior approval from administration.
- Provide Information:
- Offer basic information about the Embassy and Ghana as a whole when people call to make inquiries
- Respond effectively and resolve customer service issues
Offer prompt and effective solution - Provide solutions that address customer needs and concerns. Monitor and measure customer satisfaction and take proactive action to remedy any concerns.
- Keep staff contact lists and internal directories current
- Perform other administrative functions as may be assigned
Skills and Qualities:
- Strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite and other relevant software
- Ability to handle multiple tasks and prioritize work effectively
- A professional and positive attitude, with a focus on customer service
- Exceptional customer service skills, telephone etiquette, and written or verbal communication acumen
- Excellent communication skills, both verbal and written
Education & Work Background:
- College or University Degree or/and 5 Years working experience in customer service or related field
