Mantrac Group is looking for a detail-oriented person for the role of IT Administrative Assistant. If you excel in organization and thrive in a fast-paced environment, then this one is for you.

The Administrative Assistant is in charge of supporting the office by managing daily administrative tasks and ensuring smooth and efficient operations. This role requires a high level of organization, proactivity, problem-solving skills, attention to detail, and the ability to handle multiple priorities in a fast-paced environment.

Main Duties:

  • Manage calendars, schedule meetings, and coordinate travel arrangements to ensure efficient time
  • Handle incoming and outgoing communications, including phone, email, and postal mail
  • Prepare and organize documents such as reports, memos, and presentations to support various teams within IT
  • Maintain filing systems, both electronic and physical, to ensure documents are easily accessible and secure.
  • Assist in the coordination of office events and meetings, including logistics, catering, and materials preparation
  • Manage office supplies inventory by checking stock and ordering new supplies as needed
  • Process expense reports and handle billing inquiries

Specifications For The Role At Mantrac:

  • Bachelor’s degree in Business Administration or a related field is preferred.
  • At least 5 years if experience in an administrative role, preferably in a corporate setting
  • Proficient in MS Office Suite (Word, Excel, PowerPoint) and familiar with scheduling tools such as Outlook.
  • Excellent organizational skills with the ability to multitask and prioritize work effectively.
  • Strong communication skills, both written and verbal, to effectively correspond with various stakeholders.
  • Attention to detail for accurate data management and document preparation.
  • Proactive problem-solving skills and the ability to work independently.
  • Experience with data entry and basic financial management (invoicing and budget tracking).
